Quoting software: 8 things to check before you choose
Every piece of quoting software looks fast in a demo. Someone types in three line items, the tool produces a tidy PDF, and everyone nods. The real test is what happens with your prices, your surcharges, and that half-finished quote request that came in last night: a bathroom, two photos and one sentence.
This guide gives you 8 things to check while you compare tools during demos and free trials. You also get a table of questions to ask on every demo call, and a three-step test that shows in one afternoon which tool can handle your real work.
What is quoting software?
Quoting software builds your quotes from your services, unit rates and pricing rules, presents them in a consistent format, and helps you track what happens after you send them. Unlike a Word or Excel template, it doesn’t just give you the layout. It does the calculation too, so you only check the result.
How to choose quoting software: 8 things to check
1. Does it follow your own pricing logic?
This matters more than anything else on the list. Every trade has its own rules: price per square metre, a minimum charge, a surcharge for upper floors or a rush start, materials and labour shown separately. If the tool can only add up fixed line items, you still do the maths in your head, just on a different screen. Ask whoever runs the demo to price one of your trickier jobs while you watch.
2. Does the quote carry your branding?
Your logo, your colours, your own legal wording and payment terms. Clients judge you by the quote, and if the software’s name stands out more than yours, it’s building someone else’s brand. Check whether you set the legal text up once, or paste it into every quote.
3. Interactive quote or PDF?
PDFs are familiar, but every change means a new file, and you can’t tell who opened it or when. An interactive quote is a link the client can open comfortably on a phone, and it always shows the latest version. If your clients insist on PDFs, ask whether that option exists as well.
4. Can you see what happens after you hit Send?
When you can see that a client has opened your quote, you call at the right moment instead of guessing. It also makes follow-up easier: someone who has looked at the quote three times without replying probably has a question.
5. Does it connect to your CRM?
If you already use a CRM, your quotes and leads should show up there without copying anything by hand. Ask about your own system by name, and ask what actually syncs: just the client’s name, or the quote value and status too.
6. Can you add it to your website?
Some tools only help on your side: the quote gets done faster once a request has arrived. You get more out of a tool that lets visitors see an estimated price on your website the moment they ask. We covered this in our article on after-hours quote requests.
7. What does it cost, and can you try it risk-free?
Look at what the monthly fee includes: how many users, which features, and whether there’s a minimum contract. A free trial is only worth something if it starts without a credit card and lasts long enough to test the tool on real quotes.
8. How much work is the setup?
The best tool is no use if it takes weeks to fill in. Ask who enters the services and prices, whether you get help with the first setup, and how soon you can send your first real quote.
Questions to ask on the demo call
Take this table to every demo and note the same points each time. That way you compare tools on the same criteria, rather than on which presenter you liked more.
| What to check | Question to ask | Warning sign |
|---|---|---|
| Pricing logic | “Can you price this job of mine, surcharge included?” | Only fixed prices per item |
| Branding | “Where do I add my logo and legal wording?” | The vendor’s logo is bigger than yours |
| Format | “Does the client get a link or a file?” | Every change means a new PDF |
| Tracking | “Will I see when it’s been opened?” | No feedback after sending |
| CRM | “What syncs to my CRM?” | Export and manual upload |
| Website | “Can I add it to my site?” | Internal use only |
| Price and trial | “Do I need a card for the trial?” | Minimum contract, hidden fees |
| Setup | “When can I send my first quote?” | “A few weeks, once everything’s configured” |

How to test it during the free trial: 3 steps
- Pick three real quotes from last month: a simple one, a complicated one with surcharges, and one you had to change after the client asked.
- Rebuild all three in the new tool and time yourself. Compare the totals with the originals. If they differ, check whether the tool got it wrong, or you did back then.
- Send one to yourself. Open it on your phone the way a client would, then change a line item and see how much work the new version takes.

FAQ
How much does quoting software cost?
Subscription prices depend on the features and the number of users. Don’t just compare monthly fees; compare them with the time the tool saves you each month. EstiWise plans start at €39 a month.
Is quoting software worth it for a sole trader?
If you send a few simple quotes a month, a well-built template may be enough. If you spend your evenings writing quotes, or clients wait days for an answer, a trial is worth your time even as a one-person business.
How long should a free trial be?
Long enough to run the three-step test above on real quotes. A week can be enough if you set up your services on the first day.
