What does sales productivity mean for a small business?

Sales productivity is the share of your selling time that goes into work that moves you closer to a signed order. In a small business that time usually belongs to the owner or a single salesperson, so every hour spent on admin is an hour taken from the job site, your family or new customers.

More calls rarely fix it. You get much further by finding the repetitive tasks that eat your week and handing them off or automating them.

Step by step: where the time goes, and what you can automate

1. Gathering details

Most quote requests are incomplete: no size, no location, no deadline. Each one starts with a call-back or a few emails, and if the client doesn’t pick up, the back-and-forth drags on for days. This is the easiest step to automate. When the key questions are answered before the request is sent, most call-backs disappear. 2. Pricing

If your price list lives in a spreadsheet, in your head and in old quotes, every job starts with a search. Pricing speeds up once your services, unit rates and surcharges sit in one place and follow fixed rules. From there the maths is a job for software, and you only need to check the result.

3. Formatting and sending

Logo, header, payment terms, validity, legal text: it’s the same on every quote, yet plenty of people copy it across by hand from an old document each time. Because the content rarely changes, this step can be automated almost completely.

4. Follow-up

Follow-up is expensive because you do it blind. You don’t know whether the client even opened the quote, so you chase everyone the same way. When you can see who opened it and which quotes have been sitting for a week, you can spend your calls where there’s a real chance. Keep the conversation itself human and automate the “who do I call, and when” part.

5. Admin

Updating the spreadsheet or the CRM is the job everyone leaves for Friday afternoon. If enquiry and quote data flows into your CRM on its own, that hour comes back almost entirely.

How to keep your own sales time log for one week

  1. Pick a normal week. Avoid peak season and the week after a holiday.
  2. Use the five categories above. Gathering details, pricing, formatting and sending, follow-up, admin.
  3. Log it straight away. A note on your phone is enough: task, start, finish. By Friday you won’t remember.
  4. Count the rounds too. How many call-backs did one quote need? How many quotes had to be recalculated?
  5. At the end of the week, mark the three biggest items. Start automating there, because that’s where the biggest gain is.
