Excel vs quoting software: how to tell you’ve outgrown the spreadsheet

Your spreadsheet has served you well for years: type in the line items, let the formula add them up, save as PDF and send. Then one day a single quote eats half an afternoon, three versions of it are floating around, and you have no idea whether the client ever opened the one you sent.

This article helps you decide whether Excel is still the right tool for your quotes or whether it’s time to move to quoting software. You’ll get a side-by-side comparison, a 15-minute test using your own last ten quotes, and a four-step plan for switching without stalling your work.

Excel vs quoting software: the short answer

Excel is enough if you send only a handful of quotes a month, your line items are simple and repeat often, and you’re the only one pricing. Quoting software starts to pay off when quotes take days, formula and version mistakes creep in, only you know how to price, and you can’t see what happens to a quote after you send it.

When Excel is still enough

Not every business needs software. A spreadsheet is fine if most of these are true for you:

  • You send a few quotes a month and have time to do each one properly.
  • Your line items rarely change and there are few surcharges or exceptions.
  • You price alone, so nobody else has to understand the sheet.
  • Clients usually call you back, so you don’t need to track what happens to a sent quote.

In that case a well-built template will do more for you than a new system. Our quote template guide covers what it should include.

5 signs you’ve outgrown the spreadsheet

  • Version chaos. Your folder holds quote_final.xlsx, quote_final_v2.xlsx and quote_final_FIXED.xlsx, and you’re no longer sure which one went out.
  • Formula errors. An inserted row falls outside the SUM range, or a hand-typed number overwrites a formula, and nobody notices until the client asks about the total.
  • Slow replies. The request arrives on Monday and the quote goes out on Thursday, because you also have actual work to do. We looked at what that delay costs in a separate article.
  • Only you can price. The pricing logic lives in your head and in old files, so when you take a week off, so does your quoting.
  • Sending blind. The PDF goes out by email, and from then on you’re guessing: did they open it, forward it, forget it?

The 10-quote test: decide with your own numbers

Pull up your last ten quotes and answer four questions. It takes about fifteen minutes.

  1. On average, how long was it between the request and the quote going out?
  2. How many needed a correction after sending, such as a total, a line item or a date?
  3. How many do you know for certain the client opened?
  4. How many could someone other than you have put together?

If the first answer is more than a day, or the other three give you an uncomfortable number, the spreadsheet is now costing you more time than it saves. If everything looks fine, stay with Excel and run the test again in six months.

How to switch without stalling your work

  1. Get your price list in order. Whatever tool you pick, you’ll need your line items, unit prices and surcharges. Our guide to building a service price list walks you through it.
  2. Start with one service. Pick the one you get the most requests for. Rare, one-off jobs can wait.
  3. Run both side by side. During the trial, prepare a few new quotes both ways and compare the time taken and the totals.
  4. Watch what happens after sending. When you can see who opened a quote, you know who to call.

FAQ

Can you make a professional quote in Excel?

Yes. With a well-built template and checked formulas, Excel produces professional quotes at low volume. The trouble comes with scale: the more quotes and versions you handle, the more manual work and room for mistakes.

How much does quoting software cost?

Most quoting tools charge a monthly fee, with plans based on quote volume or features. When you compare, also work out how many hours a month quoting takes you today.

Can I move my Excel price list into quoting software?

In most cases your line items, unit prices and surcharges carry over. Tidy them up first: consistent names, units and a minimum job value make setup much faster.
